What It Is

What is strategic sourcing?

Strategic sourcing is a structured approach to buying that analyses spend, understands the supply market, and selects suppliers based on total value rather than price alone. It uses category analysis, competitive tendering and negotiation to reduce cost and strengthen supplier performance over the long term.

The difference between sourcing and just buying is the thinking that goes in upstream. Before a single order is placed, strategic sourcing asks what the category really costs, who the credible suppliers are, where the leverage sits, and what good performance looks like. That work is what turns a purchase into a deal that keeps paying back.

We run the full sourcing lifecycle for a category, from spend analysis and supply market assessment through competitive tendering and commercial negotiation to contract award and supplier set-up. The result is the right supplier, on the right terms, with the savings captured and the performance measures built in from the start.

The Challenge

Why sourcing leaves value on the table

Most organisations buy reactively. A need comes up, someone calls the usual supplier, a price is agreed, and the order goes out. It feels efficient, but it quietly leaves money behind. Without category analysis there is no view of the market, without competitive tension there is no leverage, and without total cost thinking the cheapest quote often turns out to be the most expensive choice once service and risk are counted.

The other gap is the deal itself. A supplier is appointed on a handshake and a headline price, with no clear terms, KPIs or exit. When performance slips there is nothing to hold them to. Strategic sourcing fixes both, securing the right supplier through a proper process and locking the value into a contract that can actually be managed.

Frequently Asked Questions

Common questions about strategic sourcing

What is strategic sourcing?
Strategic sourcing is a structured approach to buying that analyses spend, understands the supply market, and selects suppliers based on total value rather than price alone. It uses category analysis, competitive tendering and negotiation to reduce cost and strengthen supplier performance over the long term.
How is strategic sourcing different from purchasing?
Purchasing is the transactional act of placing orders. Strategic sourcing is the upstream work that decides who you buy from and on what terms. It looks at the whole category, the supply market and total cost of ownership, so each purchase sits inside a deliberate, value-driven supplier strategy.
What is the strategic sourcing process?
The strategic sourcing process typically runs through spend analysis, supply market assessment, sourcing strategy, supplier selection and tendering, negotiation and contract award. Each stage builds on the last to secure the best total value, not just the lowest headline price.
How long does a strategic sourcing project take?
A single category sourcing project typically runs from six to twelve weeks, depending on its complexity, the number of suppliers and the quality of available spend data. Larger multi-category programmes run longer, and we sequence them so the highest-value categories are tackled first.
How much can strategic sourcing save?
Savings vary by category and how well the spend has been managed before, but well-run strategic sourcing commonly delivers meaningful, sustainable cost reduction alongside better service and lower risk. We focus on total value and track savings in pounds so the result is clear.
